PRIVACY NOTICE
Brussels Worldwide Services BV (‘BWS’, ‘we’, ‘us’, or ‘our’) is committed to protecting your personal data and respecting your privacy. This notice explains how we collect, use and share your personal data when you participate in our surveys, questionnaires and feedback forms (‘Surveys’).
What personal data do we collect when you participate in our Surveys?
We collect the following personal data when you respond to our Surveys:
- First and last name,
- Email address,
- Job title,
- Key contact or role designation,
- Your bdo member firm,
- Technical data (ip address, device information and survey referral/link source),
- Any additional content that contains personal data, which you voluntarily provide to us in survey responses or otherwise when contacting us.
We do not collect sensitive personal information from you in Surveys. Sensitive information includes data relating to racial or ethnic origin; political opinions; religious or other similar beliefs; physical or mental health; trade union membership; genetic data; biometric data for the purpose of uniquely identifying a natural person; sex life or sexual orientation or criminal records.
How do we use your personal data?
We use your personal data in Surveys to:
- Verify your identity;
- Allow access to and use of the surveys in accordance with your bdo member firm role/user type;
- Keep our records accurate and up-to-date;
- Communicate with you with respect to the services that we provide;
- Deal with your enquiries and requests;
- Comply with the legal obligations to which we are subject and cooperate with regulators and law enforcement bodies;
- Exercise our legal rights where it is necessary to do so, for example, to detect violations of law.
The processing of your personal data for the purposes above is in accordance with our mandate under the Services Agreement with BDO member firms (e.g., assisting with the development, adoption and consistent application, reporting on and monitoring of Standards and Policies; monitoring and reporting on BDO member firms’ compliance with Quality Standards, the BDO International Regulations and other relevant professional services quality matters; monitoring the activities and related matters of competitors; establishing projects to develop BDO Network knowledge; developing or facilitating methods for BDO member firm knowledge sharing), and/or for our legitimate business interests incident to this delivery of support/solutions/services to all BDO member firms (e.g., security monitoring, record-keeping for audit purposes, improving functionality and usefulness, etc.).
Your rights
You have the following rights in relation to the processing of your personal data:
- To be informed about your personal data that we process (why we process it, how long the data will be kept, etc.);
- To access the personal data that is being processed;
- To rectify any inaccurate or incomplete data;
- To object in certain circumstances to the processing of your personal data;
- To restrict the processing of your personal data in certain circumstances;
- To data portability that allows for the obtainment in a structured, commonly used, and machine-readable format of the personal data that you have provided to us;
- To ask for your personal data to be deleted.
To exercise any of the above mentioned rights, please contact the Global Privacy Team at
privacy@bdo.global. We will treat such requests in accordance with applicable local law and the
BDO Global Privacy Policy.
However, if you have any concerns about the way in which we handle your personal data, you can also contact a data protection authority in the European Union country in which you reside, work, or where the subject matter of your complaint arose.
Who are the third-party recipients of your personal data?
We may share your personal data with third parties who provide services to us, such as survey platforms, IT providers, auditors and regulators. In particular,
Alchemer Survey is the platform we use to create and manage Surveys. Alchemer stores Survey data in the EU.
When we share your personal data, we put in place appropriate measures to make sure that our service providers keep your personal data confidential and secure.
We may also share your personal data with other BDO member firms (e.g., when Survey response data is integrated in compliance monitoring and reporting dashboards available on BDO World), provided that this is consistent with the basis on which we have collected your personal data.
Other situations in which we may disclose your personal data to a third party, are:
- Where permitted by law, to protect and defend our rights and property; and
- When required by law, and/or public authorities.
We do not provide your personal data to third parties for their own marketing purposes, we do not undertake mailings for third parties and we never sell your personal data.
How long is your data retained?
We keep your personal data for as long as necessary to fulfil the purposes for which we collected it, including for the purposes of satisfying any legal, accounting or reporting requirements. We will regularly review your personal data and we will securely delete or anonymise it when it is no longer required for the purpose(s) for which it was collected.
Your BDO member firm is responsible for ensuring the accuracy of your personal data through its Azure Active Directory, as well as ensuring the champion and other key contact role information communicated to us is accurate and up-to-date.
Is your information secure?
We have implemented generally accepted standards of technology and operational security to protect personal data from loss, misuse, alteration, unauthorized access or destruction. We require all employees and principals to keep personal data confidential and only authorised personnel have access to this information.
International data transfers
Your personal data may be transferred to, stored and processed in a country other than the one in which it was provided. When we do so, we take appropriate steps to ensure its security and confidentiality in accordance with applicable data protection law and the
BDO Global Privacy Policy.
